>>GraceKennedy Foods Protocolo para Regresar a la Oficina: FASE 2
Return to Office Protocol PHASE 2: Updated July 14, 2021
Executive Summary
It is proposed that as Governments and Municipalities remove restrictions and COVID-19 vaccines are more widely available across the working population in the US, we have the basis for the resumption of many regular activities to drive our business. The following are the assumptions and guidelines proposed for the GraceKennedy Foods (USA) LLC Team.
Effective July 14th, 2021 we move to Phase 2 of our COVID-19 protocol detailed as follows:
Assumptions:
- Schools across the US open for in-class instructions by end September 2021
- Day Care Options are available
- Covid-19 vaccines are widely available
All Persons who’s pre-Covid-19 functions required them to be in office are expected to return to the GK USA Facility assigned by October 1st, 2021, unless otherwise agreed in writing with their Department Head and GraceKennedy Foods (USA) Human Resources Department:
- Persons with underlying medical conditions who have received approval to remain at home.
- Persons who have applied for and have been approved for flexible work hours under the GraceKennedy Foods, Flexible Work Arrangement Policy must be guided by the terms of the agreement.
Physical Workspace
- Persons who return to office should work no less than 6ft away from other persons in office, regardless of how pre-COVID 19 workstations were assigned.
- Using back-to-back or side-to-side working (rather than face-to-face) whenever possible
- Use staggered/alternating positioning at workstations wherever possible.
- Where possible, using screens or barriers to separate people from each other.
- Mask and other PPE will only be provided by the Company on individual request.
Return to Office Protocol
- Department Heads are to ensure that staff members are routinely briefed on OSHA rules and good office hygiene and sanitation practices.
- Masks are required in all common areas such as office lobbies, bathrooms, elevator lobbies and copy/print stations areas.
- Masks are required in all offices. Persons may remove masks when seated at workstations or in their offices but are required to wear masks when moving around the office or interacting with other staff members.
- Members of the warehouse team who have registered with the Human Resources Team as fully vaccinated team members may exercise the option of not wearing mask while on the warehouse floor but must do so in all other common areas in a GraceKennedy facility.
- Third party contractors (including maintenance/cleaning/custodial/ancillary staff) are to always wear facemasks when on premises.
- Persons should continue to observe Physical Distancing Protocols of at least 6ft while in office.
- Children are not allowed in any of the GK offices/facilities at this time.
- Business Visitors are allowed but must maintain rules on social distancing and always wear a mask while in any of the GraceKennedy facilities.
- Staff members should not enter a GraceKennedy Facility if they are experiencing any COVID-19 symptoms such as fever, cough, shortness of breath etc.
- Videoconferencing will continue to be encouraged to reduce team exposure, but where physical meetings are held, persons are reminded that Physical Distancing Requirement will continue to apply in the meetings.
- Physical meetings must be held in designated meeting areas with adequate space to meet Physical Distancing Requirement and should not exceed five (5) persons in physical attendance.
- How to address the lunchrooms/common areas:
- Continue physical distancing in lunchrooms/common areas.
- Encourage the use of outside spaces to eat lunch, rather than the lunchrooms.
- Frequent cleaning of lunch area, with special focus on frequent touch areas (door handles, table tops etc.)
- Persons allowed to eat at workstations (customer-facing staff will use lunchrooms, in staggered shifts while observing appropriate physical distancing.)
Work From Home (WFH) Protocol
As detailed in GraceKennedy Foods USA “Flexible Work Arrangement Policy”
Note: Costs associated with Work From Home are generally the responsibility of each individual employee, but exception may be made to reimburse some expenses (e.g. stationary) accrued in the process of work. Employees returning to primarily in-office work, must return office furniture and equipment temporarily assigned.
Employee who would like to apply for “Flexible Work Arrangement” are encouraged to first return to office for a minimum of one month before applying.
Travel Protocol for Domestic and International flights on public commuter planes
- Business travel is permitted given that the employee is fully vaccinated and can provide proof of vaccination on request before confirmation of travel to GraceKennedy Foods USA Human Resources Department.
- Failure to provide proof of vaccination may result in the Company not reimbursing the travel expenses.
- After arriving back in the United States, no automatic quarantine or testing is required for those who are fully vaccinated and chose to travel for personal or business reasons, but CDC travel guidelines as published should be observed.
- Fully vaccinated persons may refrain from quarantine following a known exposure if asymptomatic.
- Fully vaccinated persons are not required to undergo temperature checks to gain access to GraceKennedy Foods USA facilities.
- For persons who chose to travel for personal reasons who are not fully vaccinated, a 10 day self-quarantine period is required per the CDC and this period will be counted as personal/vacation time if the function cannot work remotely.
